Customs clearance links the commercial transaction to the actual goods. The director agrees the description, quantity, price, currency and delivery terms with the supplier; the broker declares the goods; the accountant records the payment and import; and the carrier confirms delivery. The UKT ZED code is determined from the technical characteristics of the goods. Customs value is based on transaction terms and Customs Code rules. The contract, invoice, specification, payment and transport documents should describe the same shipment without inconsistencies in description, quantity, price or delivery terms. For the director, this is the basis for predictable payments and a quick response to a request from the broker or customs authority.

The contract should require the supplier to provide technical documents, proof of origin and other information needed for the specific goods. If procurement receives them before shipment, the broker can prepare in advance. If the manufacturer changes the model, material or completeness, the owner assesses the effect on the code and costs before the next purchase.

After release, the accountant needs the customs declaration, supplier documents and payment and transport evidence. The owner stores them together with the contract and product card. For regular supplies, this package reduces time: permanent characteristics are already known, while quantity, price, date and transport are updated for each new consignment.

Customs value does not always equal the invoice amount alone. Depending on the delivery terms and nature of the transaction, certain costs provided by the Customs Code may be relevant to the calculation. The owner needs to know this before payment because customs payments directly affect landed cost and the future retail or wholesale price of the goods.

One-Off Shipment or Regular Import

For one consignment, the client can order advice on the code, value, contract or complete package before dispatch. For regular imports, it is more efficient to describe the goods, responsible employees and recurring documents once. The director then controls timing and cost, while the broker receives the required information for each new shipment faster.

The cost of support depends on the number of goods, complexity of classification, method of determining customs value, number of suppliers and shipment frequency. The owner may retain the existing broker and carrier. A UBC specialist assumes only the part requiring legal, contractual or commercial decisions.

For an assessment, the contract or its terms, invoice, product description, country of origin, route and information about the planned payment are sufficient. For regular imports, the director can separately calculate the cost of one shipment and annual expenses. Customs data then help not only clear the goods but also make ordinary purchasing decisions.
