The accountant collects figures from the accounting database, primary documents, personnel records, tax registers and previous reports. For an amended or new report, the reason and the expected change in calculations are determined first.

If the form is prepared by an outsourced accountant, the client provides documents according to the agreed calendar. The accountant checks the prepared file, arranges for it to be signed with a valid QES and submits it through the agreed channel. Completion of filing is confirmed by the electronic receipts received and the form status. The accountant keeps the source file, signatures, receipts and service correspondence in the archive for the period.

If the system reports a format, identifier or logical-control error, the accountant identifies the cause and resubmits after correction. A notification relating to legal status or registration details is reviewed together with a lawyer or the specialist responsible for the relevant area.

Calendar, QES, Receipts and Archive

For regular work, the accountant creates a calendar with internal deadlines earlier than the statutory filing deadline. It takes account of bank cut-off times, payroll processing, receipt of acceptance certificates, registration of tax documents and management review. The responsible person can see the report date and the data required to prepare the figures.

If the director, accountant or signatory changes, authorities, QES certificates, access rights and notifications are updated in advance. Old keys are withdrawn from use under the established procedure, and the new employee receives the archive of forms and receipts. The new responsible person continues filing with the retained archive of evidence from previous periods.

Reports are grouped by period and type together with their receipts. The manager receives a register showing what has been prepared, signed, accepted, requires payment or needs further action. At the request of a bank, auditor or investor, the company can quickly substantiate a specific figure.

Some reports use common indicators, so a change to one form is checked against related data. The accountant compares headcount, payments, taxes, income, VAT and other figures only where such a relationship follows from the substance of the reporting. The client receives an explanation of any discrepancy between different forms.

If a new document or an error in the source data is identified after filing, the accountant assesses its effect on the report and calculations. The correction is made using the applicable procedure, and the grounds and a new set of receipts are added to the archive. The manager can see which period was changed and whether this affects a payment.

Before year-end closing or transfer of the accounting database, it is useful to compile a register of all submitted forms. It shows original, replacement and amended versions and helps the next specialist avoid using a superseded file. The electronic archive is linked to the accounting registers for the same period.

The director designates responsible persons in advance for cases where the main computer is unavailable, the signatory is absent or the QES expires. The contingency procedure includes current contacts, authorities, a backup of the database and the ability to prepare the file at another workstation; the signatory's personal key remains with the key holder.
